Privacy and Confidentiality Agreement for Volunteers and Staff
To participate as a volunteer or staff member for Jawncon, you are required to provide certain personally identifiable information (PII), including your first name, last name, a valid email address, and an emergency contact name and phone number. This information is collected solely for the purposes of event coordination, communication, and ensuring your safety during the conference.
Privacy Commitment
Jawncon is committed to protecting your privacy and complying with all applicable data protection laws, including the California Consumer Privacy Act (CCPA), the General Data Protection Regulation (GDPR). Your personal information will be processed lawfully, fairly, and transparently, and will never be sold or shared with third parties except as required by law or for the essential operation of the event.
You have the right to request access to, correction of, or deletion of your personal data. Following the conclusion of the event, you may request that your information be removed from our systems by emailing security@jawncon.org. We will respond to such requests in accordance with applicable privacy laws and within legally required timeframes.
Confidentiality Agreement
As part of your volunteer or staff duties, you may be granted access to confidential information related to Jawncon attendees, staff, or operations. By signing this agreement, you acknowledge and agree to the following:
Definition of Confidential Information
"Confidential information" refers to any non-public information related to Jawncon or its participants. This includes, but is not limited to, names, email addresses, phone numbers, mailing addresses, emergency contact details, backend user IDs, and any administrative records or notes.
Exclusions
Information that is publicly available or disclosed with explicit permission is not considered confidential. If you are unsure whether information is confidential, you must consult with a Jawncon lead or board member before disclosing it.
Your Responsibility
You agree to keep all confidential information strictly confidential and not to disclose it to anyone other than authorized Jawncon staff or leadership. Not all volunteers are permitted to access sensitive information. If in doubt, check with your team lead or a member of the board. If you accidentally disclose confidential information or become aware of a potential breach, you must report it immediately to your lead or to security@jawncon.org.
Access on a Need-to-Know Basis
Access to any system or data must be based on a legitimate need-to-know purpose directly related to your assigned responsibilities. It is never appropriate to access confidential information out of curiosity.

By registering, you affirm that:
You understand and agree to the collection and use of your personal data as described above.
You acknowledge your responsibility to maintain the confidentiality and security of any information you access while serving in a volunteer or staff capacity.
You agree to comply with Jawncon privacy and confidentiality standards throughout your involvement.
